Create your first flow
A flow defines when and to whom a form is sent automatically (e.g. after a new row in the data table). Create a flow under Flows, set the trigger, link a form and email template, and turn the flow on.
What you will see
Under Flows in the left menu you see all flows in the workspace. Each flow has a name and status (on/off).
When building or editing a flow you see steps: trigger (when the flow starts), form (which survey), and email (which template, which address).
The trigger can be based on the data table (new row or change) or another event, depending on your plan.
For email you choose a template from Email Templates and a recipient (often a column from the data table, e.g. email address).
How to set it up
1. Click Flows in the left menu.
2. Click "Create new flow" or "New flow" and give it a clear name (e.g. Welcome flow new customers).
3. Open the flow and go to the build steps. Set the trigger: choose the data table and moment (e.g. on new row).
4. Link the form: select the survey to send. Map variables (e.g. first name) from data table columns if needed.
5. Link email: choose a template from Email Templates and set which column contains the recipient email address.
6. Save the flow and set status to On. Check Statistics to confirm the flow runs.
Tips
Make sure your data table and Mail Approval (if used) are ready before turning the flow on.
Test with one row or a test email address before enabling the flow for all data.
If something fails, see Flow debugging for common causes.
Common issues
Flow does not run: check trigger conditions (e.g. new row in the right table) and that the flow is On. See Flow debugging.
Email not delivered: check Mail Approval (if enabled) and your template; see Send email via flow and Understand limits.
