What are flows?
A flow automates sending a form: on a trigger (e.g. new data table row) an email with the form link goes to a recipient. You configure when (trigger), which form, and which template to which address—no manual emails needed.
What you will see
Under Flows you see all workspace flows with name and On/Off status.
Building a flow shows steps: trigger (when), form (which survey), email (template and recipient).
The trigger is often tied to a data table: new row or change runs the flow for that row.
The recipient usually comes from a data table column (e.g. email address).
How to set it up
1. Go to Flows and create a new flow with a clear name.
2. Set the trigger: data table and moment (e.g. new row). See Set up trigger.
3. Link the form. See Link form to flow.
4. Link email: template from Email Templates and email column. See Send email via flow.
5. Save and set the flow to On. Check flow statistics for executions.
Tips
Ensure the data table has the right columns (at least email) before turning the flow on.
If Mail Approval is on, emails queue first; see Set up Mail Approval.
Test with one row or your own email before enabling for all data.
Common issues
Flow does not run: check On status, trigger conditions, and new rows. See Flow debugging.
Email not delivered: check template, recipient column, Mail Approval, and limits. See Understand limits.
